• Welcome interviewees and visitors politely and warmly.
• Receive and transfer external and internal calls politely and efficiently.
• Responsible for booking and checking meeting rooms and dealing with daily post or express accurately and quickly.
• Monitoring office security through monitor screen in reception desk.
• Responsible for staff and visitor access card and meal card management, Update meal data every day.
• Order office sundries and arrange repair service office machine in public area.
• Responsible for keys management, about umbrella, shower management.
• Responsible for mobile emergency charging management.
• Visa France reservation and registration management.
• Backup another receptionist’s job, when she is on her vacation.
• Responsible for external payment coordination under Admin Payment Process. Such as Stationeries, Plant, Coffee, relevant landlord payment etc.
• Responsible for Admin Help Desk maintaining and extending.
• Confirm organization chart with assistant.
• Updated name list monthly.
• Other documents in Administrative folders after confirming with line manager.
• Update employee badge list, Double check meal card list, GE Special Card list, Parking List. Provide employee entrance and exit record.
• Provide functional support including new staff on board such as badge, door plate, checking termination list.
• Collect and summarize the result of survey about administration and canteen satisfaction.
• Support Beijing office and labor union to hold some big events and activities, such as annual party and outings.
• Other administrative jobs which assigned by line manager and Admin Manager.
• Collect GE Medical Reimbursement and Concur Reimbursement.
• Stationery order and organize and maintain appointment.
