As a Receptionist, you will be the first point of contact for the company. Duties will include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence, redirecting phone calls, function room reservations, events management and marketing plus other adhoc duties from time to time.

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Keep inventory of stock for office supplies
  • Perform other clerical receptionist duties such as filing, photocopying
  • Assist in booking/ reservation of meeting rooms
  • Contact necessary people for office/ building maintenance (Building admin/ engineer, Contractor)
  • Maintain cleanliness and report any damage of office items (chairs, aircon)

*Requirements

  • Proven work experience as a Receptionist, Front Office Representative or similar role is a plus
  • FRESH GRADUATES ARE ENCOURAGED TO MAKE AN APPLICATION
  • Ability to be resourceful and proactive when issues arise
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Professional attitude, appearance and pleasing personality
  • Solid written and verbal English communication skills
  • Proficiency in basic Microsoft (Word, Excel)
  • Hands-on experience with office equipment (e.g.scanners and printers)
  • Excellent organizational skills
