Portfolio Administrator will directly support Local Portfolio Manager in the management and administration within Singapore for one of the world’s largest Oil & Gas companies. In addition, they will be the primary “go to” point for the Shared Services Hub to support the data management and audit processes on the account. 

  • Provide support to Portfolio Manager in transactions and tenders, budget planning and management, income projections and strategic in-country projects 
  • Update and maintain RE database and Lease Administration and Transaction Management system or work in conjunction with Shared Services Hub 
  • Abstract in-country leases and complete the Abstract form in English 
  • Support of the Shared Services Hub in the following areas: 
  1. In-country portfolio administration
  2. Tracking activity/local issues
  3. Contact logging (if received locally)
  4. Provision of information to Regional Hub
  5. Provision of information to support the audit process 
  6. Administrate local operational requirements/policy e.g. H&S compliance 
  • Correspondence 
  1. To and from tenants and landlords 
  • Submitting and follow-through on approval process 
  • Request economics – financial analysis model that is run by Network Planners that identifies affordable rent amount 
  • Work with Real Estate billing team in conjunction with monthly AP/AR (Accounts Payable/Accounts Receivable) processes 
  1. Sales based rents settlements 
  2. Rents indexation 
  3. Timely Monthly/quarterly payments runs 
  • Follow up on landlords/ tenants’ queries 
  • Follow-up failed Direct Debits with manual billing 
  • Liaise with Client Finance 
  • Carry out property management function from logging in and handling day-to-day issues and site inspections, to assisting and managing stakeholders in various property management related matters. 
  • Scan and/or file incoming documents/correspondence and notify parties as appropriate 
  • General administrative duties 
  • Bachelor Degree with 2-3 years in Property Management / corporate real estate field 
  • Must be fluent in Business English 
  • Must be able to deal with stakeholders at all levels 
  • Well versed in MS office 
  • Relevant retail lease administration experience will be considered favourably
